Overview

Therapy practices that serve schools, districts, and multiple sites deal with a layered caseload: which client is at which school, in which district, on which IEP team, with which funding source. MyTherapyWizard treats district, school, and site as structured dimensions.

Every patient record carries district and school/site references where applicable. Client banners render with name, school, grade, DOB, age in months, OT/therapy status. Caseload filters and analytics respect those dimensions: filter by district, filter by school, filter by grade or age or diagnosis. Reports, therapist productivity, client trends, composite domain scores, all pull at the district / school / site level.

The Business Health and Client Trends analytics views (admin-permissioned) surface district-level and school-level breakdowns natively. Income by payer source × district × school. Active students by district × grade × diagnosis. Therapist productivity (guided evaluations, forms sent, Wizard Reports, POCs, appointments, session notes signed) by school. The data structure supports the way multi-site school-based practices actually operate.

How it works

Under the hood.

The technical architecture, API integration points, and data model that make this feature work the way it does.

01

District and school/site as structured patient dimensions.

Client banner renders school, grade, DOB, age in months, therapy status. Caseload queries filter by district and school natively. Analytics respect both levels.

02

Client Trends analytics with district + school filters.

OT_status trends, composite / domain / subdomain scores, active students by grade / age / diagnosis. Filters: district, school/site, therapist, active/inactive. Exportable to CSV / Excel.

03

Business Health analytics at district + school resolution.

Income by payer source × discipline × CPT, filterable by district / school / therapist. Comparison views (last calendar year, this calendar year, this month, last month). See which sites contribute what.

04

Therapist productivity counted per school.

Guided evaluations, forms sent, Wizard Reports generated, POCs created, appointments, session notes created, session notes signed, assessments added, counted per therapist and per school/site. Supports district-level accountability reporting.

Why it matters

01

District / school / site as first-class dimensions.

Not a free-text field. Structured references that filter caseload, analytics, and reports natively.

02

IEP-ready documentation with educational audience.

POCs and reports generated with educational audience carry strengths-based, participation-focused framing. The language IEP teams expect, without retrofitting.

03

School-level reporting for district accountability.

Pull therapist productivity, client trends, outcome data at the school and district level. The evidence schools and districts increasingly require to justify therapy funding.
