Overview

MyTherapyWizard separates the primary therapist who owns a student’s case from secondary therapists providing supporting services and tertiary roles (consulting therapists, supervisors, students) that need limited access. Defaults live at the organization level; per-student overrides adjust any case without changing the defaults.

Five permission toggles per role: View Student (profile and basic info), Edit Student (profile, goals, progress notes), View Documents (assessments, reports, other documents), Edit Documents (create and edit assessments, reports, documents), Create Services (schedule appointments and create service entries). Primary defaults to all-on; Secondary to all-on; Tertiary to view-only by default with edit-documents available when consulting clinicians need to contribute.

Assignment-level overrides mean you can grant a tertiary therapist temporary edit access for a specific student during a consultation, without changing org-wide defaults. Audit trail logs every permission change, every override, every document action, required for Medicaid audits and increasingly for commercial payer reviews.

How it works

Under the hood.

The technical architecture, API integration points, and data model that make this feature work the way it does.

Client switcher drawer, not patient profiles.

Persistent top bar across all inner tabs. Client-name pill opens a slide-out caseload drawer with search. No back-navigation needed. Alert dots: red = urgent, amber = due soon. Respects 'Manage only caseload patients' permission.

Worklist submit-for-review workflow.

Each row: primary action + 'Submit for review' button. Submit dims the row, changes label to 'Sent to admin', decrements the badge, and logs a timestamped notification. No separate routing tool; admin sees the review request in their worklist.

PHI-safe Team Messages.

Messages tag by client-name pill, stay inside MyTherapyWizard, replaces emailing about patients. Admin replies show a resolved badge when marked done. If 'Manage only caseload patients' is enabled, therapist can only tag and view threads for their own patients.

Prior records, nested Eval → POC → Notes accordion.

Non-active POCs, evaluations, and notes collapse at the bottom of the Record tab. Nested structure: evaluation → associated POC → session notes spanning that POC's date range. Existing data, UI-only nesting, no schema change required.

Why it matters

Role defaults keep onboarding fast.

New therapists inherit the defaults for their role the moment they’re assigned. No per-user permission configuration, no hunting through menus, the org-wide defaults do the work.

Per-student overrides handle the exceptions.

Consulting therapists, supervisors, and student clinicians all need non-default access in specific cases. Override any toggle at assignment time without changing what every other therapist in that role can do.

Medicaid, commercial payers, and state regulators increasingly want proof of access controls. Every change is logged, every export is date-stamped, every permission is defensible.
